Building a proposal is not writing; it is assembly. The writing is the paragraph about the client's problem and the paragraph about why your recommended option solves it, and everything else is assembled from parts you already have: the pricing worked from your rate and hours, the options, the payment schedule, the terms, the description of how you work and the proof you can do it. The first page is about the client, not about you. Say what they told you, what it is costing them and what done looks like. A client who reads their own problem stated accurately trusts the rest of the document, and a proposal that opens with the studio's history is skipped to the price.

Build the price from a model, then present it as options

Work the price from your rate, the hours each deliverable takes, your costs and your margin, using the bid or pricing tools on this site, then present the result as options rather than as a build-up. The client sees choices with reasons; you keep the working, which is what you will need when the scope moves.

Finish with the schedule and the next step

The last page says exactly what happens if they say yes: the deposit, the milestone, the balance and when each is due, the start date, and how to accept. A proposal that ends with the price and no instruction leaves the client to work out what to do, and many of them do nothing.

What are the parts of a proposal?

A summary of the client's problem, the recommended approach, the scope with what is included and what is not, options with prices, the timeline, the payment schedule and terms, a short account of how you work and evidence you have done it before, and the next step. The money lines come from the tools on this site; the rest is yours.

How long should a freelance proposal be?

As short as it can be while answering the client's questions: a few pages for most freelance work, more for a large agency engagement. Length is not seriousness. A client reads the problem statement, the options and the price, and a proposal that buries those in twenty pages of process diagrams is read less carefully, not more.

Should I use a proposal builder or write from scratch?

Use a builder for the parts that repeat and write the parts that do not. The pricing, the schedule, the terms and the description of how you work are the same each time and should be assembled; the client's problem and your recommendation are different each time and should never be templated.
