A web development proposal fails when it is priced as one number for a site and the client then asks for four more page types, two more integrations and a launch date. This tool prices the build the way a small studio actually estimates it: page templates at hours each, design and discovery hours, integrations at hours each, testing and launch as a share of the build, all at your rate, and then a monthly care plan for the year after launch. The project price and the year one total are both shown, because the second one is the number the client should be comparing against other quotes.

Price templates, not pages

A fifty page site with four templates is a four template build plus content entry. Pricing per page rewards the client for cramming content into fewer pages and punishes you when marketing wants a new landing page shape a week before launch. Count the distinct templates, price the hours each takes, and treat content population as a separate line or as the client's own job.

Integrations are where the estimate goes wrong

A contact form is an hour; a booking system with payments, a CRM that has to receive the leads and a newsletter tool that has to be kept in sync are each a day or more, and every one of them has a third party whose documentation is wrong. Listing them in the proposal with hours each is what lets you say no, or say what it costs, when a new one appears mid-build.

The care plan is the relationship

A site that is launched and left is a support call in six months from a client who thinks it is still covered. A monthly care plan for updates, backups, small changes and a named person to email makes that explicit, gives you recurring revenue and gives the client a number. Pricing it in year one, alongside the build, means both of you have agreed what happens after launch before launch.

Web development proposal template: common questions

How should a freelancer price a website build?

From templates, hours and a rate, not from what the client's last site cost. Count the page templates, add design and discovery, list the integrations, put a testing and launch allowance on top and price the lot at your rate, which is what this tool does. Then add the care plan so year one is priced, not just the launch.

What should a web development proposal include?

The templates and what each does, the integrations by name, the content responsibilities, the number of revision rounds, the hosting and domain arrangement, the launch process, who owns the code and the design, and the care plan afterwards. The money lines here map onto that structure so that a change in scope has a line to land in.

Should the care plan be in the proposal or sold later?

In the proposal. Selling it later means the client has already decided the site is finished and every email after launch feels like an extra charge. Putting the monthly figure next to the build price, and the year one total under both, sets the expectation that a website is a running thing rather than a delivered object.
